About Asset Status Reasons

Asset Status Reasons explain why an asset is in its current operational state. For example, an asset may be On Hold, while the reason specifies Inspection Pending or Awaiting Approval. These values improve reliability reporting, audit clarity, and maintenance decision-making.

Status vs. Reason

Keep the parent Status broad (Active, Inactive, On Hold, Retired) and use Reason for operational detail. This gives clearer dashboards and cleaner trend analysis.

How to manage Asset Status Reasons

Add a new reason

1. Open Admin Portal → Settings → Reference Data.
2. Find Asset Status Reasons and click +.
3. Complete the form:

Field	Description	Required
Name	Primary identifier (e.g. “Awaiting Parts”).	Yes
Status	Parent status (e.g. Active, Inactive, On Hold, Retired).	Yes
Override Name	Translation for users with other language preferences.	No

4. Click Submit.

Reason Naming Best Practice

Use short, actionable labels such as Inspection Pending, Unexpected Failure, or Awaiting Parts so technicians and planners can quickly understand asset state.

Update an existing reason

1. More (⋯) on the row → Edit.
2. Change Name, Override Name, or Status.
3. Click Update.

Delete a reason

1. More (⋯) → Delete.
2. Safeguard: Deletion is blocked if the reason is assigned to any asset.

Verification after changes

After creating, editing, or deleting a reason:

1. Confirm the Asset Status Reasons table reflects the update.
2. Verify the reason appears under the correct Status category.
3. Open an asset update form and check the reason is available when selecting that status.
